Setup Policy
At Movie at Moonlight, we want your movie night to be stress-free and magical. To ensure a smooth setup and successful event, please review the following guidelines.
Because outdoor projection relies on low-light conditions, movies cannot be displayed while the sun is still out. Our team will arrive and complete the full setup before sunset so the equipment is ready for your showing.
However, the movie will not be projected until after sunset, as daylight makes it nearly impossible to see the film clearly on the screen.
Thank you for your understanding — this ensures the best viewing experience at your location.
Arrival Time
Our team will arrive between 4:00 PM and 5:00 PM, unless a different time has been coordinated directly with you via phone, text, or email.
Booking Duration
This rental includes an overnight booking period. If additional time is needed beyond the standard overnight duration, please let us know in advance and we will gladly accommodate when possible.
Space Requirements
Please ensure that the designated setup area meets the following conditions:

A flat, open space (preferably grass, driveway, or large patio)

Minimum space: 13.9 ft wide × 10.5 ft tall for the inflatable screen

Accessible electrical outlet within 200 feet of setup location

No overhead obstructions (trees, power lines, balconies, etc.)
If you’re unsure whether your space will work, feel free to reach out—we’re happy to do a free walk-in or advise!
Weather Considerations
Weather can affect setup and event safety:

Light wind is usually okay; anything over 15–20 mph may require us to cancel or reschedule for safety.

Rain or storms will result in a cancellation/reschedule or indoor setup alternative (if applicable).

We’ll monitor the forecast closely and communicate any concerns in advance.
Customer Responsibilities
To help us stay on schedule and avoid any delays, we kindly ask that you:

Ensure the setup area is clean and ready before we arrive

Secure pets and small children away from setup zones

Let us know ahead of time if there are access issues like locked gates, stairs, etc.
Equipment Care During Setup
Please avoid touching or assisting with the equipment unless invited to do so by a team member. We use professional-grade gear, and it must be handled with care.
Early Arrival Requests
If you’d like us to arrive earlier than our standard setup window, let us know in advance. Additional setup time may incur a fee depending on schedule availability.
Delays or Access Issues
If setup is delayed due to inaccessible areas, unsafe conditions, or absence of a responsible adult at the location, we may:

Shorten your event time

Charge a waiting fee ($25 per 15-minute delay)

Cancel the booking (if more than 30 minutes delayed without contact)

Please make sure someone onsite is reachable by phone at least 1 hour before the event. We may call or text if we’re navigating your location or encountering issues.
